Description
Job Title: Operations Manager
Location: Remote (U.S.-based)
Salary Range: $60,000–$70,000 per year
About Faithful America:
Faithful America is a network of progressive Christians demonstrating our faith through bold, prophetic action for a more equitable, free, and loving world. We're a community of Christians from all denominations and none, churched and unchurched, who integrate spiritual practice and organized action to love our neighbors and to resist those twisting our faith to cause them harm.
Since 2004, we have been educating, organizing, and mobilizing social-justice Christians to advance Jesus' prophetic vision of God's Kingdom and to challenge White Christian Nationalism and all the ways it harms our neighbors, our faith, and our democracy. We are building grassroots power to oppose the Christofascist Trump regime and effectively transform unjust systems and ideologies that are built and sustained by those in power -- whether they be faith leaders, politicians, or corporations.
Position Overview:
Faithful America is seeking a resourceful and highly organized Operations Manager to oversee and strengthen our internal operations and administrative systems. This is a new role on our small but growing team, offering the opportunity to both manage day-to-day operations and build the systems that will support our long-term sustainability.
This position will be the sixth full-time staff role at Faithful America, joining a dedicated team of employees, freelancers, and an engaged Board of Directors.
In the near term, the Operations Manager will take ownership of essential day-to-day finances, people operations, procurement, and technology; provide governance and planning support; and support key organizational functions.
Over time, the Operations Manager will also lead efforts to improve and scale our systems, identifying opportunities to increase efficiency, strengthen compliance processes, and better support our mission. This may include streamlining financial reporting, improving organizational file management and data practices, and designing processes that help the team work more effectively as we grow.
We’re looking for someone with meticulous attention to detail, a high degree of initiative, and strong alignment with our mission and values.
Experience in nonprofit operations – especially with a 501(c)(3) and affiliated 501(c)(4) – and comfort with coordinating financial reporting (profit and loss statements, budget vs. actuals, etc.) are highly desirable.
The right candidate will thrive in a collaborative, start-up-like environment where systems are still being built and improved — and will find fulfillment in ensuring our mission-driven work runs smoothly behind the scenes.
Responsibilities
Core Responsibilities (>90%)
Manage day-to-day finances, including:
Accounts payable (timely and accurate payment of bills/invoices, methods of payment, etc) and receivable (payment processors, online stores, credit card merchant account, deposit mailed donations, etc).
Timely financial reporting processes (including categorizing transactions in QuickBooks Online) and audit trail records.
Coordination with accountants and auditors (990s, annual audits, state registration renewals, monthly board financial statements, FEC filings when necessary, etc.)
Supporting donor stewardship by generating templated donor acknowledgement letters and drafting occasional communications/updates/thank yous with monthly donors
Manage day-to-day people operations, including:
Process staff payroll, including wages, benefit stipends, and reimbursements through Faithful America’s PEO administrator.
Lead operational aspects of team member onboarding, offboarding, leaves of absence, etc.
Manage day-to-day procurement and technology, including:
Administration of all organizational licenses and accounts (Zoom, Google Workspace, etc.).
Renewals of organizational properties (SSLs, URLs, etc.).
Insurance policies (ensure they meet our needs, manage renewals and premiums, etc.).
Vendor research, contract review, and relationship management.
Provides governance and planning support, including:
Coordination of organizational calendar (staff travel, conferences, actions, etc.)
Supporting organizational workflow by managing communications ahead of board meetings, drafting meeting agendas, taking meeting notes, as assigned by the Executive Director.
Assess, research, develop, and recommend improvements to current internal processes and systems, then implement and maintain.
Support key business functions including the establishment and effective operation of a 501(c)(3) organization.
Other Responsibilities (<10%)
Monitor the [email protected] inbox, identify the emails that need a response, and provide a response directly or route them to other staff.
From time to time, provide logistical and administrative support for campaign mobilizations (rallies, press conferences, etc.) and member events (webinars, trainings, etc.), as needed.
Participate in regular staff meetings as an engaged, collaborative team member.
Pitch in on other tasks as needed, especially in moments of organizational pivot, urgency, or opportunity — always with a focus on sustainable workload and shared team accountability.
Success in the First 6 Months Looks Like:
You’ve developed a baseline understanding of Faithful America’s mission, vision, goals, major campaigns, and the broader context in which we operate.
You have developed a granular understanding of how the core work of the organization gets done (who on the team does what, what systems and processes are in place to support the work, what tools the team rely on, etc.).
You have stepped into ownership of the organization’s daily operations and are executing these tasks accurately, completely and on time.
You’re keeping our administrative processes consistent and organized while ensuring they meet the needs of our team members and the organization more broadly.
You’re working proactively and in a fairly independent manner. You ask questions and ask for help or collaboration when necessary, but are generally functioning well without a lot of handholding or close supervision.
You have completed a comprehensive inventory of the systems, platforms and services that provide the functional backbone for our organization, and understand the role each of them play. In addition, you have identified some areas of improvement (gaps that need to be filled, ways to streamline our work, subscriptions that can be canceled, etc.)
In all aspects of your work, you are embodying the values of the organization and doing your part to support a healthy, equitable and respectful work culture.

You are an adaptable, resilient problem-solver who is good at anticipating challenges and finding practical solutions before problems escalate.
You have a deep curiosity about the world and an ongoing commitment to learning and growing.
You’re a good all-around communicator with a knack for building trust and bringing people along with new ideas or changes.
You possess a strong professional aptitude for technology (Google Workspace/Microsoft Office Suite, Zoom, etc.), are comfortable learning new systems and software, and have aptitude for understanding evolving cybersecurity best practices.
You have a strong equity lens and can work effectively across lines of personal difference.
